The role of the Parts Associate works directly with walk-in & telephone customers to help determine their parts & accessories needs and fulfilling those requests. The position also interfaces with Service Technicians to ensure their parts and accessories needs are being met.
Duties and Responsibilities:
Processing parts ordering for all in-house Service Technicians in an expeditious manner.
Assisting Service Technicians in determining parts and accessories requirements for individual jobs.Recommending related parts which may be required for a job.
Supply cost of parts, and delivery information on parts requests.
Update inventory control system. Receive and log merchandise into inventory.
Maintain cleanliness of parts and accessories department.
Customer Service Excellence:
Greet customers immediately, in a courteous and friendly manner.
Develop knowledge of parts and accessories merchandise, parts history, and motorcycle service.
Must possess the ability to work with several customers at a time.
Promote in-store specials or new merchandise to customers.
Review catalog inventory ensuring the correct item is ordered and shipped.
Handle customer complaints reasonably, showing empathy and a positive attitude, and demonstrating our commitment to “making things right”.
Maintaining a Clean and Efficient Parts and Accessories Environment:
Receive parts from distributors. Check merchandise received against purchase invoice.
Tag merchandise. Display items in Parts Department area in an appealing fashion or placing them neatly in stock area.
Conduct or participate in a periodic physical inventory of all merchandise (counts, reports, etc.).
Ensure merchandise displays are stocked, clean, and appealing to customers.
Maintain updated customer mailing lists.
Become familiar with new motorcycle inventory to remain current with specifics on parts.
High School Diploma or equivalent.
Experience with retail sales and inventory management.
Consideration of candidates with prior sales experience, not necessarily in the motorcycle industry (though motorcycle experience is extremely desirable).
Knowledge and experience with servicing of Harley-Davidson Motorcycles© and other products sold by the dealership a major plus, specifically, knowledge of front end, suspension, and engine components.
Experience with operating Point of Sale registers, inventory management portals or the ability to quickly learn. Ability to look up parts and quote prices for parts using the proper catalog for particular motorcycles.
The noise level in the work environment is occasionally loud.
Majority of the job is conducted indoors; however, some outdoor booth sales are conducted. periodically during an open house or other events.
Will spend the majority of time standing.
Potential exposure to battery acid, chemical cleaning materials or other toxic materials that may be found in motor vehicle sales/service department.
Occasional exposure to exhaust fumes or other airborne particles.
Occasionally required to bend, kneel, reach and lift up to 40lbs. of materials.

Responsibilities and Duties
Service Department Operations
Provide prompt, dependable, high quality, vehicle service to (internal & external) customers.
Complete repair work within the scheduled or allotted time period whenever possible. Continually improve this “efficiency” skill.
Accept work assignments from Service Writer / Manager and perform in correct order.
Request parts quote for the job as early as possible when needs become known. Do not start repairs before authorization is received from the customer.
Perform service, repair and customization work in accordance with factory specifications.
Assist Service Writer, when requested, with writing up work orders, communication with customers including clarifying customer concerns or any other issue which will help ensure customer satisfaction.
Notify Service Writer / Manager of any additional work needed or any delays in expected completion as soon as they become known so that customer may be contacted for authorization or notified of the delay.
After a job is finished, ensure proper completion and filing of paperwork.
Keep work areas as clean as possible and assist others with maintaining shop cleanliness.
Maintain technical qualification by completing any necessary training programs when they become available or assigned to you by the Service Manager.
Care for Company-owned tools and return them to correct location as soon as finished with them. Report any damaged tools immediately.
Report all damage to any vehicle while in our care regardless of who is responsible to the Service Manager, Shop Forman or Service Writer immediately.
Minimize come-backs and deal with them promptly and satisfactorily when they do occur.
Keep customers’ vehicle cleaner that when it was dropped off.
Answer customer questions as needed.
Give a complete description of repair on work order including problem found and repairs performed.
When finished with job perform “One last QA/look over of R.O. and bike” before test ride to assure all concerns where addressed and of satisfactory quality.
Treat all employees and customers fairly, courteously, and with dignity.
Model superior customer service behavior for all interactions with customers and employees both on and off-site.
Be prompt and available for flexible scheduling.
